What is the role about?

The Executive Assistant will provide high-level administrative support to the team, handling a wide range of executive and administrative tasks. The ideal candidate is detail-oriented, highly organised, and capable of managing multiple priorities at the same time.

This role requires excellent communication skills, a high level of discretion, and the ability to work independently.

Tasks and responsibilities:

  • Meeting coordination: Organise and prepare materials for meetings, take minutes, and follow up on action items
  • Ensure meetings are efficiently run and objectives are met

  • Project Management: Assist in the planning and execution of special projects and initiatives
  • Track project progress and provide regular updates to the management team
  • Confidentiality: Maintain the highest level of confidentiality and handle sensitive information with discretion
  • Liaison Role: Act as a point of contact between the team and gather feedback in one-to-one meetings
  • Foster positive relationships and ensure effective communication
  • Event planning: Assist in organising company events, meetings, and conferences
  • Ensure all logistics are handled smoothly
  • Document Management: Maintain organised and accessible records and files, both electronic and physical

Required qualifications:

  • Education
    • Bachelor’s degree in Business administration, communications, or a related field preferred
  • Experience:
    • Minimum of 3-5 years of experience as an Executive Assistant or in a similar role supporting senior executives
  • Skills
    • Exceptional organisational and time management skills
    • Strong written and verbal communication skills
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
    • Ability to manage multiple tasks and prioritise effectively in a fast-paced environment
    • High level of professionalism and discretion
    • Strong attention to detail and problem-solving skills
