Our client is a growing multi-location service provider in the pet care industry. They specialize in grooming services and manage customer interactions related to appointment booking, rescheduling, and inquiries. Their operations are fast-paced, customer-centric, and supported by digital tools.

Job Description:

We are seeking a full-time Virtual Assistant who specializes in customer service, reservations, and administrative support. The ideal candidate will have excellent English communication skills and experience handling client interactions across phone, CRM, and email. You will serve as a crucial support for locations that are unable to answer calls on-site due to client-facing responsibilities.

Responsibilities:

  • Answer and manage incoming phone calls related to appointments, rescheduling, follow-ups, and new client inquiries.
  • Provide high-quality customer service over the phone.
  • Use CRM software to manage client data, appointments, and communication logs.
  • Follow up with leads and assist in their conversion to paying clients.
  • Draft and send newsletters and email communications for administrative and client support purposes.
  • Provide consistent, accurate, and timely responses to inquiries across communication channels.
  • Work collaboratively with on-site staff to ensure seamless client experiences.

Required Experience and Qualifications:

  • Strong verbal and written English communication skills.
  • Previous experience in customer service and virtual assistance.
  • Proven ability to follow up with leads and support client conversion.
  • Comfortable working in a fast-paced, high-volume environment.
  • Proficient in email writing and general administrative tasks.

Preferred Skills:

  • Experience working with appointment booking or service-based businesses.
  • Familiarity with CRM platforms (experience with Moego is a plus, but not required).
  • Previous exposure to the pet care or dog grooming industry (not required, but a plus).

Personality:

  • Proactive and dependable.
  • Calm under pressure and able to multitask efficiently.
  • Friendly, clear communicator.
  • Quick to adapt and detail-oriented.

Software & Tools:

  • CRM: Moego (or similar platforms)
  • Communication: Phone, Email, Newsletter tools
  • Productivity: Google Workspace (preferred)
