Role Overview
We are seeking a proactive and detail-oriented Virtual Assistant to support daily operations, ensure quality assurance of automated content, and assist with podcast coordination and meeting management. The ideal candidate will be tech-savvy, reliable, and comfortable managing multiple tasks in a fast-paced environment.
Key Responsibilities:
Content Quality Assurance (QA):
- Review AI-generated social media posts for accuracy, formatting, and scheduling.
- Ensure posts are properly queued and published across platforms.
- Monitor automation workflows to confirm smooth execution.
- Automation Management:
- Execute pre-defined automation steps using Airtable, Make.com, and N8N.
- Troubleshoot minor issues and escalate problems as needed.
- Podcast Coordination:
- Manage guest scheduling and confirmations.
- Communicate with potential guests through email automation follow-ups.
- Maintain podcast calendar and ensure smooth coordination.
- Meeting Support:
- Join Zoom calls to assist with moderation (muting participants, managing chat, etc.).
- Take detailed meeting notes and share with stakeholders post-meeting.
- Administrative Support:
- Handle client scheduling and rescheduling requests.
- Assist with email correspondence and general admin tasks as needed.
Qualifications:
- Proven experience as a Virtual Assistant or in a similar administrative/coordination role.
- Familiarity with AI content tools, Airtable, Make.com, and N8N is preferred.
- Strong organizational skills with attention to detail.
- Proficiency in Google Workspace and Microsoft Office Suite.
- Excellent communication skills (written and verbal).
- Ability to work independently with minimal supervision.
- Experience with podcast scheduling/coordination is a plus.
