đź§ Navigating the position: Sales Operations and Contracts Administrator
Are you ready to be a key player in driving sales revenue for a global leader? OneOcean is seeking a dynamic Sales Operations and Contracts Administrator to join our team! In this exciting role, you will provide essential administrative support to our Global Sales team, ensuring impeccable data entry accuracy and adherence to standard operating procedures. Your efforts will streamline processes, remove roadblocks, and create efficiencies that boost our sales performance.
You’ll collaborate with sales, operations, and finance teams, handling various functions including proposal and contract generation, data collection, document management, and sales process optimization. If you have a background in global sales or customer service and experience with subscription or order databases, this is the perfect opportunity for you to shine. Please note this role is remote based from EMEA countries and is a 12 month contract
🚢 Your Voyage Ahead:
- Manage and Execute Daily Functions:Â Oversee and execute daily sales operational and administrative tasks to ensure smooth processes and efficient workflow.
- CRM Data Management:Â Maintain up-to-date and accurate account and contact data within the CRM, preventing duplication and correctly grouping accounts (parent/child relationships).
- Pipeline Management:Â Manage the sales opportunity pipeline to ensure its quality and health, facilitating effective sales forecasting and planning.
- Contract and Quote Processing:Â Quickly and efficiently process contracts, agreements, and quotes within the CRM, ensuring data accuracy at all times.
- System Alignment:Â Ensure alignment of data between systems for efficient end-to-end operations and comprehensive reporting capabilities.
- Adherence to SLAs:Â Ensure that Service Level Agreements (SLAs) for sales operations are met, maintaining accuracy and timely execution of tasks.
- Proposal and Contract Management:Â Process proposals and manage contracts, ensuring new agreements are correctly set up, procedures followed, and appropriate sign-offs obtained.
- CRM Administration:Â Administer the CRM system to support marketing, sales, services, partners, and finance, ensuring seamless integration and functionality.
- Sales and Finance Support:Â Assist sales and finance teams in processing and closing opportunities, maintaining a healthy pipeline, and ensuring data flows seamlessly between CRM, order systems, and finance systems.
- Finance Optimization:Â Support and optimize finance-related aspects of sales operations, including revenue recognition processes.
- CRM Best Practices:Â Ensure consistent and effective use of CRM systems across all sales and operations functions. Act as an ambassador for best practices, proactively advising and identifying opportunities for further training, and enabling sales and sales operations colleagues to adopt best practices and data governance directives.7

- CRM and Database Familiarity:Â Experience with databases and Sales CRM systems such as Salesforce or Dynamics.
- Subscription/Order Management:Â Experience with subscription/order databases and CPQ management.
- Contracting and Proposal Creation:Â Skilled in contracting and sales proposal creation.
- Detail Orientation:Â High level of concentration and tidiness to maintain data accuracy.
- Communication Skills:Â Excellent communication, listening, and time management skills.
Desirable Skills and Experience:
- Data Processing:Â Experience in data extraction, reshaping, and system integration.
- Dashboard/Report Building:Â Skills in building Salesforce Dashboards or Power BI reports.
- Maritime Sector:Â Experience in the maritime industry.
- Educational Background:Â Degree in Business, Technology, or a related field.
- Project Experience:Â Experience in transformation projects, data migration, or system move projects.
